Jacaranda Records – Additional Accessibility needs Form Data Policy

At Jacaranda Records, we are committed to protecting your privacy and handling your data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This Accessibility Form collects both Personal Data and Special Category (Sensitive) Personal Data, and we treat all such data with the highest level of confidentiality and care.

This form and policy apply exclusively to venues operated by Jacaranda Records, including The Jacaranda and Jacaranda Baltic. Under no circumstances will any information submitted be shared with anyone outside Jacaranda Records, or outside of the designated Accessibility Team.

1. Lawful Basis for Processing

We process personal and sensitive data submitted through this form on the basis of your explicit consent. By submitting the form, you are giving Jacaranda Records your informed, specific, and unambiguous consent for us to process this data solely for the purpose of meeting your accessibility needs for a specific event at one of our venues.

You have the right to withdraw your consent at any time. Upon withdrawal, we will stop processing your data and securely delete it without undue delay.

2. Purpose Limitation

Your data will be used only to fulfil your accessibility requirements for the event specified on the form. It will not be used for any other purpose, and it will be securely deleted within 72 hours after the event has taken place.

3. Data Minimisation

We collect only the data that is strictly necessary to provide appropriate support. Any information submitted that is not required to meet your accessibility needs will be deleted as soon as it is confirmed to be irrelevant.

4. Data Storage and Access Control

  • All data is stored securely and is only accessible to authorised members of the Accessibility Team at Jacaranda Records.

  • Special category data will never be physically reproduced.

  • Special category data will never be shared outside Jacaranda Records.

  • All data is processed in accordance with strict internal controls, with appropriate technical and organisational safeguards in place to protect your privacy.

Under the UK GDPR, you have the following rights with respect to your personal data:
